Challenge
Bellevue University needed to modernize its approach to forms and workflows without interrupting essential student services. Beyond maintaining continuity for high-impact processes, the institution faced increasing demand for scalable automation, repeatable workflow patterns and fewer manual handoffs. The bigger challenge was strategic: moving beyond static forms to integrated, end-to-end process automation that supports a long-term digital transformation roadmap rather than a short-term replacement.
Solution
Bellevue University partnered early with Hyland to adopt Hyland Automate during its beta phase, becoming an early adopter of the solution. The team followed an iterative, use-case-driven approach:
Phase 1: Proof of concept — Replaced the Veterans Education Form using Automate, validated the platform’s ability to replicate and enhance Transform functionality and ensured a seamless transition for end users with minimal disruption.
Phase 2: Expansion to process automation — Extended beyond form replacement to automate three institutional processes, reduced manual touchpoints, improved processing efficiency and established design patterns for repeatable workflow development.
Phase 3: Strategic enablement — Designed and deployed a Bio Demographic Form process to create a scalable framework for structured data collection and initiated a major modernization effort to replace Perceptive Data Transfer by leveraging Automate as a centralized orchestration layer.
Results
The move to Automate delivered measurable and strategic benefits for Bellevue University: business continuity through a successful replacement of Transform without disruption to critical services; operational efficiency through automation of multiple processes that reduced manual effort and processing times; scalability via a reusable framework for rapidly deploying new forms and workflows; and platform consolidation by positioning Automate as a central component in the Hyland ecosystem.
Most importantly, the transition shifted the University’s approach from form management to intelligent process automation, improving responsiveness to evolving campus needs and establishing a foundation for AI and advanced automation capabilities.
Future plans
With solution adoption and process stabilization underway, Bellevue University is positioned to extend this foundation by integrating AI-driven data extraction and validation, enhancing decision-making through automation and business rules, and expanding Automate use cases across additional departments. By embracing Automate early, the university not only addressed an immediate product sunset but also accelerated its broader digital transformation strategy.
