Automating key processes and transitioning to the cloud brings big efficiency gains for fast-growing credit union.
State Farm Federal Credit Union was established in 1936 by G.E. Mecherle, son of State Farm founder George J. Mecherle. As the credit union’s director of personnel, G.E. Mecherle wanted to help employees save their hard-earned money by providing savings and loan products with competitive rates.
Mecherle’s philosophy holds true today for the Bloomington, Illinois-based credit union. State Farm FCU has more than $4.6 billion in assets and added 1,100-plus new members in 2024.
The longtime Hyland customer utilizes Hyland OnBase across the credit union. With features such as advanced capture, workflow, document retention and records management, State Farm FCU relies on OnBase to automate key processes, improve operational efficiency and enhance member support.
The credit union’s servers were hosted in a service bureau environment, which was costly, time-consuming and made the management of technology upgrades more difficult. With the help of Hyland managed services, State Farm FCU migrated to the Hyland Cloud, which manages the infrastructure and maintenance of their content services solution.
In fewer than 10 months, State FCU moved from its modified on-premises environment to the Hyland Cloud. The credit union migrated more than 11 million documents and built integrations to crucial systems, including Corelation KeyStone, its core banking system.
Hyland Services assisted in making the transition seamless, Credit Union Analyst Rose Helmerick said.
“They’ve been a huge help and are wonderful to work with,” Helmerick said.
Being in the Hyland Cloud has helped State Farm FCU increase scalability, efficiency and strengthen its disaster recovery efforts.
“Disaster recovery is huge,” Credit Union Analyst Jenn Stanton said. “We need to make sure that if something happens to a primary site, there is a full backup and it can be up and running in a reasonably timely fashion. We know that we can trust the Hyland Cloud. I don’t know that we had that same trust level before.”
With the Hyland Cloud handling the deployment, infrastructure and maintenance of OnBase, Helmerick and Stanton are free to focus on building new applications and workflows that drive efficiency and innovation.
“Our teams consistently tell us that their processes are faster and they have more time to complete their daily tasks,” Stanton said.

An additional perk of being in cloud is single sign-on (SSO), which was easy to set up and has been a hit with State Farm FCU staffers.
SSO wouldn’t have been an option in State Farm FCU’s service bureau environment. Helmerick and Stanton were able to get the feature up and running within a couple hours, which fueled the credit union’s excitement.
“Hyland has been the easiest vendor to get this set up that we’ve worked with,” Helmerick said. “Their documentation is spot on, they know what they’re doing and they’re able to help if we have any issues troubleshooting.”
The credit union has documents that arrive from a bunch of different places. The Hyland Cloud has made the intake process much easier — and more efficient.
“They come in, and there’s usually not a problem,” Helmerick said. “It just works.”

State Farm FCU has utilized WorkView’s low-code, configurable framework to build more than 20 custom applications. The Hyland toolkit natively integrates with OnBase to enable the creation of high-value, low-cost, rapidly deployable solutions.
For the credit union, three WorkView applications stand out as the most impactful.
Members requesting a wire transfer submit an electronic form, which is entered into an OnBase workflow. The credit union’s money movement team receives the request and can quickly process it.
“Typically, when members do a wire transfer, they’re looking for money to hit their external account the same day,” Helmerick said. “Using that (application) allows us to have everything in one place for our money movement team to be able to process the wire quickly for the member.”
All of the information is stored in one place, which improves document retention and has enhanced the auditing process.
The credit union’s accounts payable and accounts receivable teams no longer have to print and manually save documents. The document entry, approval and retention processes are now digital, saving 2.5 hours and hundreds of pages each day.
“They would be going through reams of paper a day printing these reports, and it was necessary for regulations and all of that,” Stanton said. “But by simply moving that electronically and into OnBase, it’s been wonderful.”
Doing so has produced a “tenfold” improvement in back-office processes, Stanton said.

Collateral loans, primarily for motor vehicles, are entered into KeyStone and tracked as WorkView objects. When the loan is paid off, the credit union can quickly pull the paper title and send it to the member or, if it’s an electronic title, release its lien on the collateral so the member has access to the title.
“It’s a centralized way for us to track their title from the beginning of the loan to the payoff of the loan,” Helmerick said.
Already huge fans of OnBase, Helmerick and Stanton have been thrilled with the credit union’s cloud transition. Workers aren’t submitting tickets about slowed processes or missing information, and the Hyland Cloud has been a “very consistent, very quick” environment to work in.
“Hyland, from the very beginning, has been so easy to work with,” Stanton said. “We’ve just had such great luck with everyone, and everyone goes above and beyond to help us and to get the answers that we need.”
