Doug Hausner, senior associate registrar, Rochester Institute of Technology (RIT), the 12th largest private university in the country discusses why RIT chose Hyland's Enterprise Consultants for conducting a campus-wide evaluation of their business and academic needs for an enterprise content management (ECM) solution. This coupled with the university decision to move from a quarter-based system to a semester-based calendar pushed them to redefine what they're doing and how they're doing it. The comprehensive interviews with departments university-wide and the resulting roadmap from the Enterprise Assessment showed RIT where they could make huge improvements in their processes.

My name is Doug Hausner and I am the Senior Associate Registrar at Rochester Institute of Technology (RIT) and we are the 12th largest private university in the country. We are located in Western New York in the city of Rochester.
What initiative prompted engagement at an enterprise-level?
The semester project; one of the things that we are doing soon in RIT is transitioning from a quarter-based system to a semester-based system and this has far reaching impacts on our campus from the curriculum all the way through facilities so there are a lot of different players all across campus that will have to redefine what they’re doing and how they’re doing it.
The semester-based process is without a doubt a huge undertaking that is going to require a lot of negotiations between different departments and different committees across campus. The transition is going to be very intensive in some cases – paper intensive because curriculum that needs to be re-designed will need to be submitted to New York State again for another accreditation process. The other significant change we are going go to be having is a new student information system.
How would you describe the onsite discovery and experience?
We had Hyland come into our campus and conduct several interviews and when I say several - I meant close to 50 to 60 actually – different interviews across our campus. The two weeks’ time frame was divided into two hours blocks and each meeting consisted of three or four Hyland representatives who would ask questions about business processes and what types of resources people needed to do their jobs and it really looked holistically at everything that a department may be doing. They were able to get people to talk about what they do, how they do it, what systems they rely on, and they never mentioned OnBase at all. It really had nothing to do with OnBase. It was really about their work and their business processes.
What about the results?
One of the best parts of the study or of the process for the EIA is that you get a document at the end, close to 200 pages. Ours was 178 pages and it really showed us where we could make some huge improvements on our processing as well as a roadmap basically of how we might go enterprise. Currently we are departmentally deployed on our campus and we are looking to change that and actually become a site license for OnBase. robust system to use.
