With over 325 years of history, this esteemed FTSE 100 Insurer operates across various domains including insurance, wealth, retirement products, and more. This story shares their transformative journey during which they migrated from multiple legacy systems to Hyland's Alfresco platform.
The insurer successfully migrated 1.27 billion documents, experiencing a 30% reduction in application time and achieving significant automation improvements. The migration focused on four key areas: simplifying the content model, synchronizing data for continued usage during migration, integrating automation, and decommissioning legacy systems.
For document storage and retrieval, Alfresco was implemented, utilizing a strategic approach with Alfresco integrated into the ADF framework. While Alfresco was chosen for document storage, other tools like Kofax and Appian were adopted for workflow management.
Over 9,000 users were onboarded, 20,000 documents were processed daily, and 46 mailboxes were automated. The migration involved the extraction and ingestion of data using a strategic approach, overcoming challenges during the Covid and Brexit periods. The project involved extensive code development, including 90,000 lines of code, 90 sprints, 9,000 JIRA tickets, and more than 160 releases.
The migration spanned a timeline from initial onboarding in June 2021 to complete user adoption and document uploading by July 2022. A 30, 60, 90-day model for funding kept the team focused on the game plan and challenges, resulting in a comprehensive risk management program.
Facing challenges typical of large-scale projects, a technical account manager from Alfresco proved invaluable in addressing technical issues. Database partitioning and collaboration with Hyland addressed performance concerns and paved the way for annual cost savings of approximately 2.4 million GBP.
