OnBase Mobile Workflow

OnBase Mobile: In an App Store Near You

Want to capture patient information while offline from OnBase at a home healthcare visit in the field? Approve a work order from your smartphone or iPad from the back of a Yellow Cab? How about give access to your employees in the field to new documents and information with a simple search? OnBase Mobile can do it all – and now from more devices.

With OnBase Mobile, users have access to proven capabilities in their OnBase enterprise content management solution when they need it, how they need it, extending their investment in OnBase and their mobile devices. OnBase Mobile allows users to benefit from:

  • Seamlessly integrate mobile devices into existing mission critical workflow processes giving users access to their step in the process directly on their mobile device.
  • Applications built natively for each individual device – even with two separate applications for iPad and iPhone –  giving a user experience consistent with the device
  • Convenient search capabilities to access documents from anywhere
  • Document navigation capabilities to view, zoom, rotate and navigate multi-page documents
  • Other on-document functionality, including viewing document keywords and adding, viewing, editing and deleting notes

Hyland has been evolving its mobile offerings since Mobile Workflow for BlackBerry in the release of OnBase 9.2. Now, OnBase Mobile offers ECM functionality through these mobile applications, available in their respective app stores:

Free From the Desk

OnBase users are truly freed from their workstation. And the shackles have been coming off ever since OnBase users were given the option of using Unity Briefcase, a software solution that allows traveling and field employees to gain offline access to OnBase documents, forms and features.

In a way, those employees carry a "mini-OnBase" wherever they go, giving them the ability to update or add notes to documents, create new e-forms and upload photos and other information. Once back at HQ, the employee reconnects to OnBase, synchronizing his or her offline documents and revised business process workflows. No collecting information in the field one time, then rekeying all that information back into a computer when returning to the office. This opens up the possibility of employees having more time to work in the field, providing better customer service and collecting more accurate information.

Going Mobile

OnBase mobile moves beyond workflow by adding another piece to the mobile mosaic with its custom query app, helping customers work whenever and wherever they are, on the mobile platform they're most accustomed to. Custom query allows an administrator to provide employees with permission to view specific documents and information types stored in OnBase through their mobile device.

"We've custom-tailored each application so the user experience is appropriate to the mobile device," says Bill Filion, Hyland Software's vice president of development. In other words, mobile OnBase is device-specific, functioning like all other applications on the customer's device-of-choice.

Quick access to the workflow queue keeps important documents and tasks moving through the system, regardless of where the decision maker is – Buenos Aires or Baton Rouge or on an airplane between the two.

And now with custom query, if a field employee receives an email that a new contract or other piece of information has arrived in OnBase, the employee can access and view the contract (as long as he has permission) from his phone or tablet.

It's smart document retrieval that allows the administrator to control the flow of information, as well. Better still, it's available to all OnBase users. Workflow is not a prerequisite to get the app.
Other benefits mobile users will discover:

  • Improved cost efficiency and effectiveness of a current OnBase solution
  • Familiar or repetitive decisions can be made without accessing the full workflow interface
  • Existing mobile device investments can be easily leveraged with out-of-the-box OnBase access

And though smartphones remain the most popular mobile portal, the tablet is quickly catching up.

A Seat at the Tablet

Hyland joins a growing number of companies helping turn the tablet into the next indispensible business accessory.

The reason why? Evolved touch-screen, mobile processor and solid-state memory technology, coupled with access to the company's software as a service platform, or "the cloud," turns the tablet into a productivity powerhouse.

Early adopters, including healthcare and commercial industries, are realizing "the intrinsic value in having a highly mobile device that enables users to immediately access data, process information, and respond accordingly," states global strategy consulting firm Access Markets International (AMI) in a recent study.

"The tablet has almost limitless potential in the small- to mid-size business space where the device can entrench itself as a valuable resource essential to the on-the-go business person," says Michael McDonald, senior associate of worldwide SMB sizing for AMI, in the study. "The ability of manufacturers, software providers and service providers to adapt to the changing demands of business users will be critical to future success."

"Adapting to the changing demands and business needs of our customers has always been a hallmark of Hyland Software," says Filion. "Our new mobile workflow app is just another manifestation of that promise and places us out in front with other mobile innovators."
