OnBase Solutions for Microsoft®

OnBase allows knowledge workers to participate in high-volume, high-value transactional processes from the Microsoft interface of choice. Rapidly configurable to reflect both what employees do and how they prefer to do it, OnBase drives activities specific to various industries (e.g., order-to-cash, procure-to-pay, application/claims processing) and applies business rules to strengthen internal controls. Integrating OnBase with Microsoft applications accelerates time-to-value by allowing organizations to leverage Hyland’s expertise in enterprise-class back office and industry solutions and support disaster recovery and e-discovery initiatives with minimal disruption to the work force.

An out-of-the-box enterprise content management (ECM) application, OnBase can be rapidly deployed to manage transactional content without the high professional services costs and prolonged deployments of some solutions. Forrester Research’s March 2006 Forrester Wave™ acknowledges Hyland Software as a leader in managing transactional content that originates outside of an enterprise and drives internal processes. Because of its Microsoft-centric architecture, OnBase easily complements existing Microsoft solutions with high-volume document imaging, robust enterprise-class workflow, compliance solutions and other sophisticated functionality.

OnBase product modules designed to work specifically with Microsoft applications include the following:

  • Web Parts for Microsoft SharePoint® to allow users to search, retrieve, view and interact with OnBase documents, business processes (e.g. Workflow queues or WorkView objects) and collaboration spaces, by exposing this high-volume, high-value transactional content to SharePoint Web sites and pages

  • Archive Services for Microsoft SharePoint® to provide organizations using Office SharePoint Server as a platform for basic content services (BCS) with advanced content archiving capabilities that improve the performance of SharePoint content repositories and provide additional support for compliance and disaster recovery requirements

  • Integration for Microsoft BizTalk to extend OnBase’s business process management capabilities with greater ability to route structured data between disparate applications in the course of a business process, making it possible to leverage messaging capabilities of OnBase Web Services that are of  Biztalk-specific to update keysets, archive documents, create e-forms, save InfoPath® forms, update documents and get document data

  • Integration for Microsoft InfoPath® to automatically import InfoPath forms, which can then be managed, tracked, archived and routed through OnBase Workflow. Because both OnBase and InfoPath are easy to use and configure, organizations can quickly create effective complementary solutions that increase productivity and maximize the strengths of both applications

  • E-mail Archive to harness the intrinsic journaling capabilities of a Microsoft Exchange Server to create a centralized, long-term record of e-mail and attachments that can be full-text searched by persons possessing the appropriate permissions

  • Integration for Microsoft Outlook® to enable a Microsoft Outlook user to store e-mail messages and attachments, view documents, attach a document to an e-mail, participate in Workflow and access the Explorer Extensions within the OnBase document management system through the familiar Outlook interface.

  • Integration for Microsoft Search to allow organizations to include OnBase content, alongside other repositories, Web sites and file systems, in SharePoint searches. OnBase is completely transparent to the user and documents are opened with a simple click on hyperlink within the search results.

OnBase complements the functionality of Microsoft Dynamics solutions by linking documents generated outside of the system directly from screens within Dynamics applications such as CRM, NAV, SL, GP or AX. It can also automate processes that precede those managed by Dynamics. For instance, OnBase can manage high-speed batch scanning of incoming invoices, then apply business rules to the invoices and route them for approval prior to posting in AX or SL. Being able to consistently manage a centralized repository of documents from virtually any source improves an organization’s visibility, reducing the time and complexity of audits and supporting compliance initiatives.

Since its inception in 1991 as the first Windows-based ECM solution, OnBase has continued to develop enterprise-class applications using Microsoft Developer Studio® with a combination of C++, COM and .NET technologies. For instance, the OnBase Web Server, which facilitates remote access, is built on ASP.NET technology and runs entirely on Internet Information Server (IIS). The corresponding OnBase Web Client operates on Internet Explorer. OnBase also supports Active Directory®, making it easy to conform to an organization’s current enterprise security standards.
